Job Description

Roles and Responsibilities:

We are seeking a highly organized and detail-oriented Space & Occupancy Planner to join our team. This role is responsible for conducting site assessments, optimizing space usage, analyzing space utilization data, and managing occupancy planning in a corporate real estate environment. The ideal candidate will have experience with space planning software, IWMS tools (such as ManhattanOne), and CAD software to support space management and move coordination initiatives.

Key Responsibilities:

  • Conduct site assessments and surveys to ensure accurate occupancy, furniture, and space type data.
  • Prepare and present detailed space planning options to Real Estate leads.
  • Optimize space utilization for efficiency and functionality.
  • Analyze space utilization data to identify areas for improvement.
  • Ensure compliance with core program standards and company policies.
  • Maintain a working knowledge of space management systems and IWMS software.
  • Receive and process client move requests, updating floor plans and move data as needed.
  • Participate in planning meetings with key stakeholders to strategize space management.
  • Develop and implement move phasing documentation for large-scale move projects.
  • Prepare and maintain move status reports, monitoring scope changes.
  • Work with IWMS software (ManhattanOne) for floor plan updates and space/move data management.
  • Support broader space management projects and initiatives.
  • Adjust space plans based on change requests and business needs.
  • Manage tickets related to new hires, space requests, moves, and other workplace needs.
  • Establish and update space stacking and floor block plans based on occupancy data.
  • Conduct physical space audits to validate occupancy data and collaborate with onsite teams.
  • Provide Excel-based analysis of CAFM data to support planning scenarios.
  • Develop presentations that effectively communicate space planning strategies with visuals.
  • Ensure the integrity and accuracy of space and occupancy data.
  • Update databases with new hire, termination, and move information received from HR.
  • Conduct quarterly audits to verify space data and occupancy trends.

Qualifications & Skills:

  • Education: Bachelor’s degree in Architecture, Interior Design, Facilities Management, or a related field preferred.
  • Experience: 2-4 years of experience in space planning, occupancy planning, or workplace strategy in a corporate real estate environment.
  • Strong background in design, architecture, workplace planning, or corporate real estate.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) for reporting and data analysis.
  • Experience with IWMS/space management software (e.g., ManhattanOne, Archibus, Serraview).
  • Strong ability to read and interpret building drawings and floor plans .
  • Proficiency in AutoCAD or other drafting software.
  • Experience with CAFM (Computer-Aided Facility Management) systems .
  • Ability to multitask and manage shifting priorities in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills to collaborate across teams.
  • Ability to work independently and within a team.
  • Willingness to work nights and weekends as needed to support moves
